Job Responsibilities

  • Responsible for selling, planning, and executing events.
  • Field and respond to incoming leads.
  • Conduct venue site visits for prospective clients.
  • Proposals and detailed cost estimates for prospective events.
  • Prepares and acts as signer for all event contracts.
  • Prepares/distributes various sales reports, as well as the resume and BEO.
  • Continued development of sales collateral, proposal templates, and additional sales tools.
  • Works with Executive Chef to update menus and menu pricing.
  • Follows established operational policies and procedures as they relate to group events.
  • Obtains necessary information from the client to ensure efficient event execution and client satisfaction to include room setups, food and beverage specifications, timeline, and billing.
  • Distributes all pertinent information to the operating departments in a timely and understandable manner based on the procedures in place.
  • Monitors and ensures client satisfaction throughout planning and execution of the event.
  • Develops and maintains favorable working relationships and open communication with all departments.
  • Contributes to the sales effort by encouraging repeat business and up selling.
  • Responsible for new booking/turn over process.
  • Responsible for scheduling setup and teardown for execution of events.
  • Process sales department invoices and expenses: maintain file copies, handoff to accounting, organize and track as needed.
  • Reconcile monthly expense and gratuity reports for accounting.

Job Requirements

  • Previous event planning experience required.
  • Sales experience preferred.
  • Must possess basic negotiation skills and strong customer relations skills.
  • The ability to effectively present information and respond to questions from group of managers, clients, customers, and the public.
  • Must be able to communicate in English clearly and effectively, both verbally and written.
  • Strong attention to detail.
  • Ability to compute discounts, interest, commissions, proportions, and percentages.
  • Strong computer literacy in Microsoft Office, especially Word, Excel, and Outlook.
  • Detail oriented with strong multi-tasking and organizational skills.
  • Ability to carry out instructions provided in written and oral format.
  • Ability to solve problems and make decisions in routine situations.
  • Strong personal management skills, including time management, planning, organizing, and delivery of results.
