Foxen is a family-run vineyard and winery celebrating its fourth decade of business in Santa Barbara County, and is looking for a Sales Office Administrator to join our family to support our wholesale and marketing team.
Our Sales Office Administrator is at the forefront of our wholesale channel, communicating daily with Sales Managers, distributor representatives, & Warehouse Manager, processing orders & updating product allocations, and organizing media submissions & marketing events. This role is perfect for someone ready to work in a deadline-driven environment, who enjoys working with peers and coordinating efforts across departmental lines, and who excels with flexibility and prioritization while multitasking.
Reports to: Marketing Director
Work Week: Monday through Friday, with occasional weekend days for events
Compensation: Depends on Experience – Non-Exempt
Responsibilities:
· Coordinate wine allocations with Sales Team and applicable wholesale distributors.
· Coordinate updates on new vintage releases for wholesale distribution and direct-to-consumer teams.
· Process wholesale distribution orders, coordinate pick-ups with Warehouse Manager, & invoice accounts for fulfilled orders.
· Manage distributor and wholesale accounts receivable with Sales Team and Bookkeeper, including monthly A/R Aging reports.
· Generate weekly sales reports of wholesale distribution orders and direct-to-consumer sales for Ownership.
· Manage and coordinate media shipments and tastings with Sales Team.
· Manage Sales Team travel and events and in-house winery calendars, including coordinating VIP & trade tastings with Sales Team and Tasting Room Manager.
· Coordinate advertising and occasional copy-writing with oversight from Marketing Director.
· Compile annual label information, coordinate printer execution and delivery, and submit for COLAs as needed.
· Coordinate promotional activities, including local and regional charity and/or consumer tastings.
Qualifications:
· Minimum of two years administrative work, preferably within the wine industry.
· Experience with QuickBooks, Microsoft Office 365, and Adobe Creative Suite a plus.
· Detail-oriented, organized, motivated, and comfortable taking the initiative to solve problems but also ask for help when needed.
· Must work well alone and in a team environment.
· Must be 21 years or older.
· Ability to lift up to 40lbs and sit for extended periods of time.
· Professional in appearance and demeanor.
