Position Summary

The Finance Manager will lead the financial operations of Bin to Bottle, including accounting,

billing, budgeting, and collections. This role is ideal for a hands-on, detail-driven professional

with strong experience in QuickBooks Online, Bill.com, and Vintrace or InnoVint. The Finance

Manager will be responsible for rebuilding the Chart of Accounts, improving financial processes,

and ensuring strong cash flow through proactive, assertive collections. This position requires

someone who thrives in a fast-paced production environment and can create structure where needed.

Key Responsibilities

- Oversee day-to-day accounting operations, including AP, AR, GL, reconciliations, and

month-end close.

- Manage QuickBooks Online, including journal entries, accruals, and accurate

revenue/COGS classification.

- Administer Bill.com for invoice routing, approvals, vendor management, and payment

processing.

- Maintain data integrity and integration between Bill.com → QuickBooks and

Vintrace/InnoVint → QuickBooks.

- Lead the design and implementation of a new, service-aligned Chart of Accounts.

- Build and maintain the annual budget and rolling forecasts.

- Create cost models for labor, storage, production, and project-based work.

- Generate weekly and monthly reporting packages for leadership.

- Track financial performance and provide recommendations to improve results.

- Ensure accurate and timely billing for crush, bottling, canning, storage, and all ancillary services.

- Reconcile production data, work orders, and Vintrace/InnoVint entries to verify accuracy of invoices.

- Lead aggressive and proactive collections, managing aging reports and negotiating payment plans.

- Identify revenue leakage and implement preventative controls.

- Develop new SOPs for billing, AP, AR, month-end close, KPIs and financial reporting.

- Support future system upgrades or transitions, including potential ERP enhancements.

- Collaborate with Production, Winemaking, Quality, and Logistics to align operational

and financial workflows.

- Strengthen financial controls to ensure accuracy, compliance, and audit readiness.

- Prepare and organize financial schedules and documents for quarterly and year-end tax filings.

- Maintain clean, audit-ready records and assist with reconciliations.

- Assist with maintaining and tracking required TTB, ABC, and AP documentation.

- Support filing requirements and ensure records match production and inventory activity.

- Help prepare and organize documents for audits, inspections, or regulatory reviews.

- Assist in maintaining accurate records of Alternating Proprietorship (AP) contracts,

renewals, onboarding, and required regulatory forms.

Required Qualifications

- 5–8+ years of accounting or finance experience; manufacturing/production environment

preferred.

- Strong proficiency with QuickBooks Online and Bill.com.

- Experience using Vintrace or InnoVint (required).

- Demonstrated experience creating and implementing a Chart of Accounts.

- Experience with budgeting, forecasting, and cash flow management.

- Strong collections experience, with a proactive and assertive approach.

- Exceptional attention to detail; ability to work hands-on in a small, fast-paced team.

Preferred Qualifications

- Experience in wine production, beverage manufacturing, co-packing, or custom crush operations.

- Knowledge of cost accounting for production and labor.

- Advanced proficiency in Excel or Google Sheets.

- Bilingual (English/Spanish) a plus.

Work Environment & Physical Requirements

- This role primarily operates in an office environment within a production facility.

- Must be able to sit or stand for extended periods.

- Occasional visits to production areas may be required.

- Occasional travel for trainings or vendor meetings may be required.
