THE ADMINISTRATIVE ASSISTANT
The Napa Valley Grapegrowers announces the opening of a part-time Administrative Assistant position. The successful candidate will possess exceptional administrative & communication skills, attention to detail, and will demonstrate a strong professional record of organization and commitment.

RESPONSIBILITIES

1. Administrative Support
•  Manage all office & kitchen supplies: monitor inventory levels; order as needed; and restock
•  Manage all NVG & FWF marketing materials: inventory levels; order as needed; and restock
•  Manage the ordering and embroidery of NVG-branded apparel
•  Research and purchase of office needs as directed by the NVG Executive Director
•  Update information to the NVG database and perform duties related to maintenance of the database
•  Export, review, and update Excel spreadsheets as required for organizational reporting
•  Prepare for and coordinate meetings and schedules as directed by the NVG Executive Director
•  Manage NVG master calendar to ensure all appointments are current

2. Membership
•  Print and stuff membership solicitation and welcome packets
•  Handle monthly invoice mailings
•  Provide occasional mailing support for membership-related projects, including mail merge support, prep and printing of shipping labels, and stuffing of envelopes

3. Farmworker Foundation
•  Mailing support for all Farmworker Foundation events and programs
•  Provide administrative support for annual Give!Guide program participation
•  Coordinate Summer Mentor Program applications, including spreadsheet management and email correspondence
•  Update event checklists and post-event documents

4. Events
•  Provide additional support for NVG and FWF events: Annual Membership Meeting, Pruning Contest, Annual Dinner, Dia de la Familia, Afternoon in the Vineyards, STOMP

5. Service the goals and objectives of the NVG Strategic Plan

6. Provide general support to the NVG team as directed by the Marketing & Operations Coordinator and Executive Director

QUALIFICATIONS

•  Must have the highest level of professional communication skills
•  Must have solid technical experience and be comfortable with online databases
•  Proficiency in Microsoft Excel, Word, Power Point, and Outlook preferred
•  Ability to organize and operate in a fast-paced, efficient, and positive office environment
•  Must have an enthusiastic and motivated work ethic, and strong interpersonal skills
•  Background in agriculture and/or viticulture and grape growing a plus
•  Ability lift 50 lbs.
•  Clean driving record with the California DMV
