Shipping & Inventory Manager (Wine Jobs: Wine Retail & Sommelier)

The person in this position manages all outbound shipments from the winery and bond & tax-paid inventory. This position has a high degree of customer interactions primarily over the phone and via email, as well as some in-person.

SHIPPING MANAGER
Accurate and timely receipt of each wine order is a vital component of our commitment to provide customers with a superior L’Ecole N° 41 customer service. 
•  Accurately pack and ship wine and merchandise orders originating from the tasting room, website, mail, fax, phone and email according to established guidelines.
o Work with customers to determine the best shipping plan for their order.
o Use UPS/FedEx software to generate shipping labels
o Construct boxes
o Accurately pack shipments according to given customer invoice
o Coordinate UPS/FedEx pick ups
•  Accurately process and ship samples and donations as requested by winery staff
•  Regularly assess weather conditions across the US to determine the best shipping method for a given package.
•  Track shipments and resolve delivery issues with customers as they arise
•  Communicate with UPS and FedEx regarding contract and service issues
•  Maintain UPS Worldship and FedEx Ship Manager software
•  Maintain adequate inventory of shipping supplies and place supply orders as needed. 
•  Assure incoming deliveries are forwarded to the intended winery recipient in a timely manner
•  Provide staff training and materials on shipping details and specifications
•  Recycle cardboard

INVENTORY MANAGER
Responsible for managing the winery’s onsite bond and tax-paid inventory locations to include physical transfers of case goods utilizing forklift, electronic inventory management, and monthly inventory counts/reconciliations. 
•  Ensure warehouse space (tax-paid warehouse, & bond warehouse) is clean, safe, and orderly at all times. 
•  Ensure adequate current vintage and upcoming vintage tax-paid inventory is readily available in the tax-paid warehouse at all times. 
•  Perform the physical transfer of case goods to tax-paid warehouse utilizing forklift.
•  Perform the electronic transfer of case goods.
•  Monthly Tax-Paid Inventory- Conduct monthly inventory and reconciliation of current and recently current vintage wines according to established procedures.
•  Conduct comprehensive bi-annual (June 30 & December 31) count of all tax-paid & bonded inventories housed at the winery. Reconcile, troubleshoot, and process WIMS inventory adjustments. 
•  Coordinate with production staff to verify all post bottling inventory counts.
•  Library Inventory Management. Assure sold-out wines are set aside in library. Work with Tasting Room Manager to identify library wines available for sale in tasting room. 

CONSUMER DIRECT ASSOCIATE
Work with all facets of consumer direct sales and wine club administration. Duties and responsibilities will vary with the seasonality of the position and include but are not limited to: 
Consumer Direct
•  Process consumer sales orders in WIMS (Wine Inventory Management System) 
•  Prepare mini-tasting note shipping inserts
•  Ensure adequate inventory of all materials included with shipments (ie current order form, tasting notes, and special flyers)
•  Wine Club Administration
•  Have a familiarity of Wine Club application processing and new member welcome procedures.
•  Perform customer account updates as needed.
•  Assist with wine club shipment preparation and execution
•  Assist with on and offsite wine club event preparation and execution
•  Work on special projects as needed

OTHER DUTIES AS ASSIGNED
•  Become knowledgeable and proficient about L’Ecole wines, vineyards, and appellations.
•  Attend tasting room staff meetings as invited/organized by Tasting Room Manager
•  Assist at special events and functions as needed

PHYSICAL REQUIREMENTS
•  Ability to stand and walk for long periods of time
•  Frequent heavy lifting required. Ability to lift 50 lbs. comfortably and frequently

•  WA/OR Alcohol Server’s Permit or ability to obtain
