Description

The purpose of this position is to select, order, receive, price, and stock sub-department items while meeting objectives for sales, margin, and customer service. The buyers, with assistance from Marketing, also organize and carryout product samplings. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily, with or without a reasonable accommodation.

Customer Service

It is the primary responsibility of every employee of the Co-op to serve our members and customers with a superior shopping experience by using excellent customer service skills. This includes, but is not limited to, friendly, helpful interactions with members and customers, a willingness to assist all customers and members find the items they are looking for no matter where they may be in the store, and to explain store policies and procedures clearly, completely and concisely to customers. Employees should also report customer suggestions, comments and complaints to appropriate management and/or to document such in a Customer Feedback Form.

 

 Supervisory Responsibilities

  • Participate in Person in Charge shifts as assigned

 Department Operations

  • Assist training co-workers in department  knowledge and operations
  • Direct staff on stocking priorities of the day
  • Ensure that back-stocking is done in a timely and efficient manner
  • Stock and fill shelves to maintain a high standard of product that is rotated, fronted and faced
  • Offer samples to customers in a friendly, courteous manner
  • Manage and set up daily passive demos as well as occasional active demos
  • Ensure department floor area is kept clean and safe
  • Accurately and completely record special orders and ensure the forms are delivered for processing
  • Promptly and accurately respond to requests from customers to research product availability, price and quality issues
  • Assist in special events, demos, food fairs, etc.

 Merchandising

  • Plan attractive displays with uniform signage; ensure displays are fully stocked, rotated, and fronted to ensure freshness and abundance
  • Ensure accurate, up-to-date price, ingredient, and date labeling of items
  • Attend department meetings as required to create goals and action plans to address opportunities
  • Assist in planning and implementing seasonal programs
  • Create innovative ideas for merchandising at the Co-op
  • Ensure accurate coding and up to date shelf tags and/or signage
  • Provide product information for customers and staff
  • Visit other stores for price comparisons, product and merchandising ideas
  • Coordinate in-store and NCGA promotions in the sub-department
  • Stay current of developments in the natural products industry through reading trade publications and talking with brokers
  • Attend trade shows as assigned
  • Participate in sale change over

 Purchasing

  • Negotiate with suppliers for favorable prices, terms, quality, and delivery
  • Research new products; rotate varieties seasonally
  • Evaluate suppliers and research new or alternative sources of supply
  • Purchase product to follow the Co-op guidelines (e.g., priority for local and organic products)
  • Review invoices for accuracy with respects to promotions, proper pricing, discount accuracy, price changes, product additions and department breakout
  • Ensure damaged, miss-picked and miss-ordered items are handled using established credit procedures
  • Follow up to be sure that credit is received from suppliers where applicable for returned or low quality produce
  • Consult with manager on updating UPCs, PLUs and pricing information in the POS register system
  • Ensure all new items are added into POS before they are put on shelf
  • Maintain level of high quality products; maintain a sufficient amount of inventory to maximize sales and turnover, keeping overstock to a minimum
  • Continually refine plan for back stock storage and ensure that stock clerks understand and follow plan
  • Ensure adequate and timely supply of promoted products
  • Stay current with all delivery schedules and ensure that receiving area is prepared for incoming deliveries
  • Ensure proper receiving by department staff according to established procedures
  • Establish prices to achieve margin goals set by General Manager
  • Calculate prices as needed, or provide pricing guidelines to other staff
  • Monitor competitors’ pricing to ensure proper profit margins and competitive prices
  • Mark down items as needed to reduce losses; track shrink if there are margin problems and understand quarterly percent of shrink
  • See that unsellable items are recorded and disposed of properly
  • Adjust product mix to meet customer service, sales, margin, and inventory turn goals
  • Review departmental financial reports (sales, labor, margin, turns) with manager and take corrective action as needed by calculating and adjusting prices to meet margin goals

 Department Maintenance

  • Ensure that all department areas are maintained in sanitary, orderly condition meeting or exceeding health department standards (aisles, shelves, bins, storage areas)
  • Follow USDA and NH State Law regarding the use, labeling, and handling of allergens
  • Maintain a department cleaning schedule and see that it is followed
  • Follow standard Sanitation Operating Procedures schedule including: deep cleaning schedules, good health department scores, pest awareness and control, equipment maintenance
  • Ensure proper storage and labeling procedures as per health department and organic standards
  • Participate in inventory counts as directed by management
  • Ensure adequate amounts of department supplies
  • Maintain department equipment in working order. Notify management of equipment problems or requirements. Research and recommend major equipment repair, replacement, or acquisitions.
  • Notify management of supplies needed and equipment problems or requirements
  • Coordinate storage of items to be returned to suppliers
  • Follow and update opening and closing checklists
  • Monitor temperatures in cooler and cases
  • Regularly take out trash and break down boxes which can’t be used by customers

 Physical Demands

 Language Skills

  • Effectively present information in one-on-one or small group situations to customers and employees
  • All employees must become familiar with membership information and must be able to provide this information to current and prospective members

 Technical & Mechanical Skills

  • Use a telephone, printer, computer, copier, MS Office and web browsers
  • Ability to order products on-line, via the telephone, and in person
  • Operate equipment such as hand trucks, U boats, pallet jack
  • Use tools such as box cutters and pricing tools

 Mathematical Skills

  • Add, subtract, multiply and divide using whole numbers, common fractions, and decimals
  • Perform these operations using units of American money, weight measurement and volume

 Education and Experience

  • High school diploma or equivalent
  • At least one year of retail purchasing and merchandising, preferably for a department in a natural food store
  • Knowledge of specialization in particular department (e.g., Beer & Wine types and flavors)
  • Familiarity and knowledge of current trends in the natural foods industry
  • Experience serving the public

Work Environment

  • Noise level is moderate
  • Environment may include frequently working in a walk-in cooler and/or freezer
  • Will be required to use step stools, step ladders, box cutters and pricing tools
