We are seeking an energetic, organized and detail oriented candidate for our Accounting & Compliance Specialist role. This position is responsible for a variety of accounting tasks that include monthly general ledger reconciliations, posting journal entries, sales and excise tax computation and reporting, maintaining state permits, licenses and label registrations, inventory management and reconciliation as well A/P and A/R. This position will report to the Controller.
Direct Shipping/Wholesale Compliance & Taxes:
• Oversee direct shipping & wholesale compliance system - ShipCompliant.
• Maintains all state permits and licenses, renews licenses prior to expiration, and applies for new.
• Completes label registrations as required by each state.
• Serves as the liaison with the ShipCompliant staff to streamline system processing for maximized efficiency.
• Reconciles consumer direct and wholesale orders at month-end to confirm inclusion in ShipCompliant for reporting purposes; runs reports in accounting software to analyze transactions involving sales tax for accuracy and usefulness in reporting requirements.
• Calculates monthly, quarterly and annual state wine sales and excise taxes due. Completes and files the appropriate reports to the taxing authorities by their due dates.
• Completes monthly OLCC and TTB tax reporting and processing.
Month End Closing Procedures & Inventory:
• Post monthly recurring journal entries and reconcile balance sheet accounts.
• Assist in preparation of monthly financial statements including a budget comparison.
• Manage semi-monthly inventory counts including coordinating staff for the count, printing count sheets, tallying and entering the counts, and researching discrepancies.
Full-Cycle Accounts Payable:
• Receives AP invoices, selects checks for payment in weekly check runs, mails checks to meet vendor due dates.
• Reconciles vendor statements and past-due notices to company records. Researches unpaid documents and works with the vendor to resolve differences.
• Obtains W-9 and assists the Controller in printing and mailing 1099 forms annually.
Cash Receipts:
• Deposits checks daily using EDS machine, post payments and collections
Other:
• Controller back-up (as needed basis only).
• Opening and distributing department mail, general filing.
• Other special projects and duties as assigned.
Skills and abilities
• BA/BS degree in Accounting or Finance required and 2+ years similar experience desired.
• Impeccable personal integrity.
• Excellent written and oral communication skills.
• Demonstrates analytical thinking and ability to problem solve.
• Ability to work well in a team environment and in close working conditions with employees and customers.
• Demonstrates attention to detail and excellent follow through with the ability to manage deadlines.
• Demonstrated ability to use MS Outlook, Word and Excel.
• Ability to lift objects weighing up to 45 pounds and sit or stand for long periods of time.
• Able to pass a background check, reference checks and screenings.
• Passionate about wine and the wine/food lifestyle. Interested in learning more about wine.
• Must be 21 years of age or older and able to qualify for an Oregon Server’s Permit.
This is a full-time, permanent, hourly position. Work is Monday through Friday, 8:00am 4:30pm with occasional overtime to meet deadlines.
