Estate Tasting Room Manager (Wine Jobs: Wine Retail & Sommelier)

Willamette Valley Vineyards is searching for an energetic and customer service obsessed leader for our Estate Tasting Room in Turner, OR. Primary duties include providing hands-on managerial support to the Tasting Room staff to consistently deliver a high-end guest experience while hitting sales goals and managing expenses. Leads staff planning and scheduling, training, sales initiatives, POS software processes and floor supervision on peak days and times. Maintains proper supplies, sales tools, POS materials. Ensures inventory and financial controls are in place, practiced and effective. Point of contact for customer service related issues. Serves as the person-in-charge (PIC) as scheduled at Estate.  

Primary Job Responsibilities/Essential Functions

General

  • Leads the Estate Tasting Room with duties including opening & closing procedures, light housekeeping, purchase transactions, hosting tastings, promoting the sale of wine, promoting Wine Club memberships, & promoting non-wine merchandise.
  • Maintains & updates Tasting Flights and Tasting Passports in collaboration with the Retail Operations Manager and marketing department.
  • Point of contact for customer service issues in Tasting Room.
  • Point person for any issues within the Tasting Room including but not limited to shipping errors, faulted bottles, customer service issues, maintenance issues (dishwashers, coolers, etc), inventory of wine/merchandise/office supplies, personnel problems.
  • Maintain Tasting Room Dashboard weekly, monthly and annually.
  • Collects & files all inventory check out/ check in forms that show inventory movement from offsite events.
  • Manages Board of Directors & Vineyard leaser’s allocations. Processes, pull, & track new releases
  • Prepares Pre-brief & debrief notes for Saturday & Sunday shift for the PIC.  Sets follow-up action items and meetings as needed coming out of debrief. 

Financial/Inventory Control 

  • Orders and maintains all TR inventory and supplies necessary for the successful operation of the TR. This includes passports, brochures, tasting cards, bags, glassware, wine, etc.  Updates Tasting Room Supplies Inventory Google doc to track purchases.
  • Codes & signs off on invoices for, Tasting Room supplies, & other misc. expenses.
  • Executes budget & controls costs by monitoring staffing levels & by working with the CFO to enforce financial controls. 
  • Monitors cash registers & accounting for sales throughout the day.
  • Reviews end of day reconciliation including reconciling poured wines, counting cash, balancing registers, inventory counts, ensuring that daily receipts are properly secured in the safe & all daily sales & recaps are documented.
  • Investigate till discrepancies as provided by accounting. Records in appropriate google doc & reports back to CFO or Controller on any reoccurring issues.
  • Prepare bank run each Tuesday, including recording deposits & auditing cash bags for large bill exchange.
  • Ensures tips, incentives & spiffs are reviewed, documented, audited, backed via POS & sent to accounting. 
  • Oversees daily & monthly inventory procedures and reviews with the Retail Operations Manager.
  • Reviews & observes video monitoring system, ensuring financial transactions occur in the camera’s view.
  • Assists Sales AA and Accounting with TR sales audit to ensure sales made in the TR are credited to the correct “sales rep”.
  • Checks out deposits bags & deposit slips for daily Tasting Room cash & check deposits. 

POS

  • Serves as the POS point of contact for questions from employees or errors/issues with the system.
  • Responsible for maintaining POS system, including but not limited to adding new cashiers, sales reps, products, item numbers, prices & other changes.
  • Strives to ensure the POS interface is simple & easy to navigate.
  • Updates the face screen template, as needed.

Ordering & Supplies

  • Processes wine & glassware orders through Platinum.
  • Maintains supply of clean glasses, washing & drying racks.
  • Maintains daily supplies, including bags, wine carriers, shippers, brochures, etc.
  • Reconciles all wine, glassware, inventory on a daily & month-end process.

Staff Leadership 

  • Supervises, directs, & schedules staff using a hands-on approach.
  • Coaches and provides a lead by example presence in the Tasting Room.
  • Assists with hiring & training of Tasting Room Associates, Concierge and Food Runners.
  • Performs annual TR Staff reviews.
  • Approves, edits, audits all Tasting Room Associate & Food Runner time cards.
  • Facilitates orders of name tags, business cards, supplies need for Tasting Room Associates. 

Other

  • Manages the OWE/AWS point system & wines available for purchase with points.  (P&P: OWE/AWS Program & OWE/AWS Point System) 
  • Works closely with Wine Club Mgr & is cross-trained in essential functions of Wine Club order processing.
  • Assists in planning on-site events. Lead for on-site event staffing.
  • Assists with training of PIC’s (P&P: PIC (Person In Charge) Training, Duties & Assignment)
  • Develops, plans & implements new ideas to increase monthly sales including employee incentives.
  • Ensures all company policies & procedures are followed.
  • Monitors [email protected] email daily.
  • Monitors [email protected] email & general voicemail inbox in the absence of the receptionist (weekends).
  • Audits & updates Google Doc:  Opening & Closing checklist for Estate Tasting Room.
  • Creates Daily Goals google doc via POS reporting from previous year & benchmarks set for current year. (P&P: Daily TR Sales Goals) 
  • Sole processor of wine credits for employee incentives. Maintains google doc tracking form & updates list of wines available for purchase with points. 
  • Develops policies & procedures as needed.
  • Collaborates with all department managers towards profitability & helps drive the vision/mission of WVV.
  • Recommends & implements sustainability & “green” practices that improve the company’s positive impact on the environment.
  • Partners with local wineries, hotels, & B&Bs to cross direct traffic to the tasting room.
  • Hosts trade & media guests.
  • Other duties as assigned by the Retail Operations Manager, Winery Director &/or the CEO.

Requirements

  • Must have
    • Highly developed, detail-oriented customer service, organizational, problem solving, operational, & time management skills.
    • Excellent supervisory skills, including the ability to lead & delegate tasks with effective follow-up.
    • Excellent written & verbal communication skills.
    • The ability to multi-task, work independently and as part of a team, and build dynamics and synergy across departments.
    • A valid/current OLCC Server’s Permit & Food Handler’s Card.
    • The ability to use point-of-sale (POS) systems, Google services, & Microsoft Office Suite.
  • Must be
    • Able to stand for long periods of time & work in a fast-pace environment.
    • Available to work peak tourism & traffic times including holidays, weekends, & evenings.
    • Available to work on-site events.
    • Flexible & willing to work in a continually changing environment.
    • Lift 40 lbs.
