JOB DESCRIPTION:

Combined position in Marketing, New Business Development, and Office Management. Involved in all aspects of wine communications company. Right hand person to Karen MacNeil.

Karen MacNeil is one of the foremost wine experts in the United States and is the author of the bestselling book, "The Wine Bible." The company is devoted to wine based products and services, wine journalism, wine events, wine education, and wine consulting for a variety of clients. 

THE COMPANY'S ACTIVITIES:

Wine communications products and services; writing projects about wine; educational classes and seminars on wine and food; wine events for leading corporations; media projects; research projects, and considerable social media projects and activities.

PURPOSE OF ROLE:

The Marketing and Communications Coordinator/ Office Manager is a critical lynchpin in the effectiveness and efficiency of Karen MacNeil & Company. This is a fast-paced office, and the ideal candidate will be smart, quick, a good writer and communicator, and superbly organized since there are many administrative details. The position requires a person who is a self starter and who knows how to “take the next step” to initiate success. While some wine knowledge is a plus, it is more important that the person be a top notch, detail-oriented organizer who is very adept at communications and social media. 

ESSENTIAL DUTIES:

•  Office and Administration: Schedule management, supplies management, “right hand” assistant to KM with general running of office.

•  Projects, Clients and New Business: Manage and organize considerable correspondence and files regarding clients and projects. Help KM in the development of new business.

•  Events and Seminars: Help plan and organize wine events and seminars including venue management, travel arrangements, wine procurement and any/all planning details.

•  Media, Book, and Education Products: Assist with the development, maintenance, and marketing of KM&Co products and services. 

•  Initiate the production of the weekly wine intel report WineSpeed, including uploading the report to subscribers via MailChimp. 

•  Research. Conduct wine research large and small under KM’s direction.

•  Maintain office technology, including Windows-based computer network, Microsoft Exchange and phone system. The office has no on-site IT department, and thus the candidate will be the go-to person for the resolution of issues regarding basic office technology.

•  Maintain company websites ensuring they are operating efficiently, are updated regularly and that customer inquiries are handled immediately. 

•  Create innovative Power Points under KM’s direction.

•  Social Media responsibilities. Plan, create and execute daily posts as part of SM campaigns on Facebook, Twitter, Instagram, Linked-In and others. Keep KM&Co active on all critical platforms to continue to broaden social media reach and return.

•  Be willing to step up and become involved as new KM&Co ventures/products expand.

•  Occasionally set up wine tastings, and organize tasting notes.

QUALIFICATIONS AND EXPERIENCE:

This position is unique, and thus there is no typical past employment history which the candidate must possess. However, listed below are examples of the types of skills, knowledge, experience and abilities a well-qualified candidate would have.

A. Bachelor’s Degree (marketing or communications preferred) 
B. Superior organizational skills 
C. High intermediate to advanced proficiency in Microsoft Windows (Word, Outlook, PowerPoint, Excel) with a working knowledge of QuickBooks 
D. Intermediate to advanced proficiency in social media applications 
E. An entrepreneurial frame of mind and a team player
F. The ability to work independently, work quickly, demonstrate versatility and flexibility 
G. Very strong writing skills and communication skills 
H. A “do what it takes” attitude. Plus the ability to handle multiple projects, and changing priorities and work loads with enthusiasm
I. The ability to demonstrate creative, marketing, and strategic thinking skills, while handling administrative tasks (phones, data, files, office supplies) that keep the office running efficiently
J. The ability to interact with a wide variety of contacts and clients, from corporate executives to support service personnel
K. Basic invoicing and record keeping experience
L. Responsible for maintaining the offices in a clean and neat manner

WORK ENVIRONMENT:

Small office suites on Main St. in downtown St. Helena. Noise level: low. Environment: private and quiet without a lot of busy social interaction.
Physical demands: must be able to lift/carry a case of wine (approximately 35 lbs) and to unpack wine samples.
