SUMMARY: The Accounts Receivable Supervisor is responsible for processing of all incoming payments from lockbox, ACH, Wires, and various payment portals, auditing and posting all invoices and credit memos and transmitting to outside vendors, performing credit reviews on new and existing customers, and maintaining all paperless records based on audit standards. Assist the Credit & Collections Manager in developing internal and external customer relationships, and overseeing collection efforts to ensure 100% compliance to all ABC regulations.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Audit, reconcile, post, and record all incoming payments from multiple sources, lockbox, ACH, wires, and online payment portals including Fintech. Follow up on all payment variances to clear balances by gathering backup, performing research, contacting customers for reimbursement of error, or gathering approval to process credit memos for internal errors.
• Reconcile daily shipments to GL, post manual invoices based on shipping documents, and distribute invoices based on customer preferences. Manage vendor processes related to invoicing to ensure timely payments, which includes transmission of invoices and credit memos to Fintech and the EDI processor. Report any issues to manager and IT.
• Performs credit reviews for new and existing customers to protect the company’s assets, oversee collection activities of AR Team to adhering to policies and procedures and 100% compliance to ABC Regulation.
• Record and maintain paperless financial records based on audit and retention policies.
• Meet accounts receivable operational standards by contributing information to strategic plans, resolving problems, and identifying system improvements.
• Oversees collections of accounts by contacting customers as needed to assist AR staff, making recommendations for adjustments to credit limits and payment terms, negotiating and resolving conflicts, and expediting payments.
• Protects organization's value by keeping information confidential.
QUALIFICATION REQUIREMENTS:
• Minimum AA or equivalent
• Excellent oral and written communication skills, analytical
• Accounting knowledge, 10 key by touch, typing
• Minimum 5 years’ experience in related duties as assigned
• Proficient in computers with emphasis in Microsoft Excel
• Navision knowledge preferred
• Must be detailed-oriented and flexible
• Ability to work in a fast paced growing environment
