Executive Assistant, Spirits Sales (Wine Jobs: Sales & Marketing)

Position Summary:

The primary purpose of this position is to provide daily administrative support to the Chief Commercial Officer ("CCO") of Spirits Sales. Responsibilities will range from general administrative support to organizational event planning. This individual serves as the primary contact for the Spirits Sales organization and often provides support to other office, other Executive Assistants and field sales staff, as needed.

Key Accountabilities:

  • Responsible for all administrative duties supporting the CCO, Spirits Sales, including (40% of time):
    • Calendar Management: Planning of calendar, coordinate travel, arrange meetings, order catering (as needed), schedule/initiate conference calls
    • Expense Reporting: Manage and submit all expenses in timely manner
    • Attendance: Track departmental PTO in accordance with company guidelines
    • Office Supplies: order supplies and ensure department remains in budget
    • Provide support to VP’s, Directors, as needed

  • Represent the CCO in company communications (i.e.: phone/fax/mail/email, company notes, holiday cards, etc.). Prepare PowerPoint decks and drafts of correspondence for approval and execute transmission, as appropriate. (30% of time)
  • Coordinate and plan annual National Spirits Sales Meeting, Top to Top Meetings, GM Meetings, and other meetings events, as required. Manage external vendors, when appropriate. Handle all logistics during events. Travel to meetings, as required. (20% of time)
  • Act as Budget Coordinator for Departmental Overhead Budget. (5% of time)
  • Track spending and provide CCO with quarterly updates on cost centers including departmental travel and entertainment expenses.
  • Handle special projects, as necessary. (5% of time)

Nature & Scope
Position typically works with all levels of management - within PR USA and key external partners – and provides information as directed by CCO. Communication often includes sensitive information requiring complete confidentiality and discretion. Incumbent is responsible for daily management of CCO’s calendar which includes consistent communication, coordination and scheduling adjustments. Individual must also display team work capabilities as working with other Executive Assistants is key. Being pro-active while displaying clarity of purpose and speed of action will make this individual successful.

Requirements:
Education:

  • High School Degree required, Bachelor’s degree, a plus.
  • Advanced training and proficiency in MS-Office Suite is required.
  • Knowledge of/proficiency in Concur, or similar T&E system is required.

Experience / Background:

  • 5-7 years of previous experience supporting senior level management. Prior experience supporting field organization a plus.
  • Excellent verbal and written communication skills required.
  • Prior experience coordinating and planning large meetings and events is highly preferred.
  • Qualified candidates must be detail oriented, able to multi-task, and exhibit strong interpersonal skills.
  • Proven success anticipating change, problem-solving, and acting with a sense of urgency are key competencies for success in this position.
  • Candidates must be comfortable interacting with different personalities and across all levels of management, while always maintaining confidentiality and discretion.
  • Digitally savvy and good knowledge/usage of social media will be a plus
  • Not afraid to ask for clarification, take risks and make mistakes

Working Conditions:

Work is performed in a typical office environment, with limited demands for movement and lifting. Normal visual acuity required for correspondence and computer terminal usage. Ability to work overtime as required.

Travel:

Position will require travel to support sales meetings and events.

Estimate: 10-15% of time.
