Position Summary:
The Administrative Assistant/Office Manager is responsible for providing administrative support to Senior
Management; ensuring the office runs effectively and is well kept, while being proactive and flexible in a
collaborative work environment.
Responsibilities (but not limited to the following):
Administrative Support:
• Provide administrative support for three executives by managing calendars, travel arrangements,
coordinating meetings, taking monthly meeting minutes, coordinating conference calls, and
greeting guests
• Answers all general incoming calls and monitors voicemails throughout the day.
• Keeps the company phone directory up to date and distributes as needed
• Coordinates product training with Brand Managers and Sales Team
• Distributes sales goals, scorecards, and reports
• Assists with office event planning as needed
Office Management:
• Ensure printers are stocked with paper & properly serviced; order office supplies as needed
• Maintains the office, conference rooms, and kitchen in a consistent clean and organized manner
• Serves the point person for reserving the room(s) on-line room
• Ensures office lights are turned on upon arriving in the morning
• Monitors Sales Office to ensure it is kept clean, neat and organized
• Manages and maintains the distribution and inventory of wine & spirits samples
• Manages the mail (express mail orders) in keeping with the budget
• Point person for outside vendors e.g., housekeeping, IT and telephone service
• Arranges all new hires computers, phones, business cards, v-cards and wine bags
Requirements:
• Bachelor’s degree or related professional training
• Minimum of 3 years prior experience
• Proficient in Microsoft Office Suite Word, Excel, Outlook
• Exercises high level of discretion, good judgment, and professionalism
• Must be highly organized
