THE OPERATIONS & MARKETING COORDINATOR
The Napa Valley Grapegrowers announces the opening of a full time Operations & Marketing Coordinator position. The successful candidate will possess exceptional communication skills and will demonstrate a strong professional record of organization and commitment.

RESPONSIBILITIES
1. Provide administrative assistance to the Executive Director
•  Efficiently prepare for and coordinate meetings and schedules, including Board of Directors meetings
•  Answer telephones; open and sort daily mail
•  Oversee all outgoing mailings and directly manage all office supply vendors
•  Manage the NVG office and accounts, including IT and related vendors
•  Coordinate the NVG boardroom meeting schedule
•  Oversee holiday card mailing and other miscellaneous mailings as needed by the NVG Executive Director
•  Support the Executive Director in the planning of the annual Board of Directors retreat and coordinate all social gatherings such as the Past Presidents lunch
•  Responsible for ordering and maintaining inventory of NVG office collateral
•  Manage the overall operations of the office

2. Marketing & Communications
•  Correspondence to over 700 members, the industry, and the general public through regular Grower Bulletin email blasts and other outreach initiatives
•  Assist the Marketing & Communications Manager in planning press conferences and other media, consumer, or trade events
•  Working with the Marketing & Communications Manager and NVG Executive Director, oversee the NVG’s social media campaign
•  Assist with the coordination of all photography needs for NVG events
•  Assist with the management of the newsroom on the NVG website
•  Assist with the coordination and distribution of all event marketing & promotional needs including, but not limited to, marketing & promotion schedule, timeline, press releases, printing and mailing requirements for signs, postcards, event program, billboards, online & print ads, etc.
•  Assist in the development and execution of the NVG Social Club
•  Provide general support to Marketing & Communications Manager

3. Afternoon in the Vineyards
•  Coordinate, plan and execute the annual Afternoon in the Vineyards event
•  Work with organizational representative to secure vineyard sites
•  Responsible for completing and securing all necessary event permits from Napa County
•  Responsible for completing and securing the ABC license requirements
•  Responsible for securing liability insurance for each site
•  Pre-event site visits and final conference calls with all member hosts
•  Coordinate the event rentals, restrooms, beverages, glassware, etc. for each site
•  Coordinate all event and directional signage requirements
•  Work with organizational on promotional postcard design
•  Coordinate mailing of promotional postcard with Napa Printing & Graphics
•  Coordinate and confirm all NVG staff and Board assignments for each site
•  Create NVG talking points and review with staff and Board prior to the event
•  Coordinate letter to the editor from organization presidents
•  Create individual event site lists for hosts and staff representatives
•  Manage the event budget, reporting regularly to the Marketing & Communications Manager
•  Responsible for all post-event follow up – thank you letters, post press release, budget reconciliation, etc.

4. Harvest STOMP
•  Work with NVG Executive Director and NVG Associate Director on reservation list, protocol, announcement and communication
•  Manage event registration and registration staff
•  Manage Greater Giving program, including all charges and reports after the event
•  Coordinate registration staff training prior to the event
•  Coordinate registration staff meal needs with NVG Event Manager
•  Manage the entering of all wooden nickels into Greater Giving
•  Assist with table assignments for all guests
•  Manage registration for Friday Night Welcome Dinner
•  Assign bidder numbers to all guests
•  Oversee week of event volunteers and temporary staff
•  Create, print and merge all NVG and Farmworker Foundation receipts for mailing with thank you letters and packets

5. Grower of the Year
•  Track and record all Napa Valley Grower of the Year nominations, compile list for NVG Board of Directors to review, and order Grower of the Year buckle

6. Service the goals and objectives of the NVG Strategic Plan

7. Other miscellaneous administrative duties as they arise



QUALIFICATIONS

•  Must have the highest level of professional communication skills
•  Must have solid technical experience and be comfortable with online databases 
•  Proficiency in Microsoft Excel, Word, Power Point, and Outlook
•  Ability to organize and operate in a fast-paced, efficient, and positive office environment
•  Must have an enthusiastic and motivated work ethic, and strong interpersonal skills
•  Background in agriculture and/or viticulture and grape growing a plus
•  Ability to assist with event set up, breakdown, and coordination
•  Ability lift 50 lbs.
•  Clean driving record with the California DMV
