Position Summary:

Provide administrative support, coordination and project assistance to the Vice Presidents of the National Sales Division.

Essential Duties and Responsibilities:

Administrative Support:

  • Assists in the development of presentations, documents, and reports; prepare correspondence, notices, and memoranda.
  • Opens, reviews, and distributes mail and other written communication.
  • Answers and screens phone calls, conveys messages, and prioritizes urgency and importance of messages and determines actions needed.
  • Assists with document word processing, including revisions, formatting, proof reading, finalizing, and similar tasks on various types of documents.
  • Tracks spending requests.
  • Recaps monthly chain price survey.
  • Compiles chain activity, mid-month, and end of month reports.
  • Tracks and recaps distributor promotions and educational events.
  • Prepares and maintain daily, weekly and monthly calendars and arrange and schedule meetings.
  • Organizes and executes all facets of meetings, including preparation of task lists, agendas, requesting necessary information of participants, collecting and sorting data, and preparing presentations; reserves and prepares rooms for meetings, including set up of electronics, beverage and food service, paper tablets, and writing utensils.
  • Coordinates trade organization matters and travel planning.
  • Oversee the execution of air travel and accommodations including, but not limited to, air, hotel, ground transportation, meals, meetings, conferences, conventions, and distributor and trade events.
  • Maintains and submits expense and other reports.
  • Assists in the preparation of training and presentation materials.
  • Other projects as requested.

Minimum Qualifications:

To perform this position successfully, the individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.

Position Requirements:

Education:

  • GED/High School Diploma.  Associates degree preferred.

Experience: 

  • Minimum of 5 to 7 years’ administrative support to executive and divisional group. Wine industry experience a plus.

Knowledge:

  • Strong computer skills (Excel, PowerPoint, Word).  Proficient in desktop application (MS preferred).
  • Strong analytical skills. Works effectively with numbers, spreadsheets and detail.
  • Strong communication skills, verbal, written and presentation.
  • Effective writer with strong sense of grammar.
  • Thrives well under pressure and in a fast-paced, changing environment.
  • A quick study whom catches on extremely fast.
  • Strong customer service orientation. Highly professional and pleasant disposition.
  • Able to diffuse tensions under stressful conditions.
  • Strong listener and strong organizational skills.
  • Able to prioritize and quickly assess what needs to get done. Effective multi-tasker and effective Team Player.

  • Proficiency in solving practical problems and dealing with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
