Delicato Family Vineyards has an immediate career opportunity for a Sales and Legal Executive Administrative Assistant in our Napa office.

Position Summary: Provide administrative support, coordination and project assistance to the Legal Department and National Sales Division. Depending on qualifications, work directly with the Legal Department on contracts administration, contracts, and other legal matters. Maintain confidentiality.

 

Essential Duties and Responsibilities:
• Assist in the development of presentations, documents, and reports; prepare correspondence, notices, and memoranda.
• Open, review, and distribute mail and other written communication.
• Organize, maintain, and secure legal and other files, including highly confidential files.
• Answer and screen phone calls, convey messages, and prioritize urgency and importance of messages and determine actions needed.
• Assist with document word processing, including revisions, formatting, proof reading, finalizing, and similar tasks on various types of documents.
• Assist Legal Department in the logging, tracking, and execution of contracts.
• Update and maintain various dockets and data systems.
• Track Spending Requests.
• Recap monthly chain price survey.
• Compile chain activity, mid-month and end of month reports.
• Track and recap distributor promotions and educational events.
• Prepare and maintain daily, weekly and monthly calendars and arrange and schedule meetings.
• At the request and direction of your managers, organize and execute all facets of meetings, including preparation of task lists, agendas, requesting necessary information to participants, collecting and    sorting data, and preparing presentations.
• Request use of and prepare room for meeting, including set up of electronics, beverage and food service, paper tablets, and writing utensils, as necessary.
• Coordinate trade organization matters and Travel Planning.
• Oversee the execution of air travel and accommodations including, but not limited to, air, hotel, ground transportation, meals, meetings, conferences, conventions, and distributor and trade events.
• Maintain and submit expense and other reports.
• Assist in the preparation of training and presentation materials.
• Perform routine fact research as needed.
• Where appropriate, assist the General Counsel with Mergers/Acquisitions projects, including organizing and tracking document review and other due diligence.
• Other Projects as requested.

 

Minimum Qualifications:
To perform this position successfully, the individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.

 

Position Requirements:

 

Education: GED/High School Diploma.  Associate's Degree a plus.

 

Experience: Minimum of 5 to 7 years’ administrative support to executive and divisional group. Wine Industry Experience Skilled in writing ordinary business and legal correspondence. Knowledge of legal contract terminology and contract function Experience reading, analyzing, and interpreting legal documents

 

Knowledge: Strong computer skills (Excel, PowerPoint, Word). Proficient in desktop application (MS preferred). Strong analytical skills. Works effectively with numbers, spreadsheets and detail. Strong communication skills, verbal, written and presentation. Effective writer with strong sense of grammar. Thrives well under pressure and in a fast-paced, changing environment. A quick study whom catches on extremely fast. Strong customer service orientation. Highly professional and pleasant disposition. Able to diffuse tensions under stressful conditions. Strong listener. Proficiency in solving practical problems and dealing with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
