Are you interested in a position in the wine industry? We are seeking an experienced, energetic and highly motivated individual to fill a key support position for our CEO as well as manage our busy Napa, CA office.
In this role, you will work directly with our dynamic CEO and fast-paced executive team. Your ability to manage multiple tasks, plan, schedule and coordinate support is a must. You will also be working with confidential and sensitive information requiring considerable discretion, judgement, tack and diplomacy. You will enhance our CEO’s effectiveness by providing information management support and representing the CEO to others. A professional appearance is must, as you will be in front of board members and prospective clients on a regular basis.
Your Responsibilities Include:
- Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics
- Conserves CEO’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
- Meticulous attention to detail and quality of work as well as superior organizational skills
- Maintains the CEO’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
- Represents the CEO by attending meetings in the CEO’s absence; speaking for the executive.
- Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries
- Excellent analytical and problem solving skills
- Protects operations by keeping sensitive information confidential by using discretion and tact.
- Ability to manage multiple projects with accuracy and meet deadlines
- Monitor company credit card charges
- Special projects as needed
Qualifications:
- 5+ years of hands on administrative support experience
- 3+ years of hands on executive administrative support experience
- Proficiency in MS Word, MS Excel, MS PowerPoint and MS Outlook
- Team player that can anticipate needs with a sense of humor and adventure
- Excellent verbal and written communication skills with the ability to communicate articulately in a pleasant manner
- Can-do approach and ability to think quickly on your feet
- Demonstrate business administration knowledge
