Accounts Payable Specialist (Wine Jobs: Management & Administration)

We’re the wine industry’s leading direct-to-consumer platform and are looking for an enthusiastic AP Specialist to join our team.  WineDirect is located in the beautiful Napa Valley and has distribution centers in Paso Robles, CA and Glenwillow, OH.  Our goal is to help our winery customers Sell More Wine direct-to-consumer, and we’re building the team to help them do just that!  

As the AP Specialist, you will support all aspects of accounts payable; receiving, processing, verifying, reconciling and paying invoices.  You will be responsible for the accurate and timely processing of supplier invoices and the maintenance of accounts payable records to support business operations.  The candidate must possess strong organizational and interpersonal skills and have extensive experience with A/P accounting processes.

Specific responsibilities of the role include:
  • Enter, review, code and electronically route invoices for approval
  • Download invoice detail from vendor websites/portals
  • Performs 3 way matching on PO related purchases
  • Process employee expense reimbursements
  • Process weekly ACH and Check Run batches ensuring that payments are on time and vendor discounts are earned
  • Reconcile credit card statements, ensuring expenses are correctly coded
  • Create and maintain schedules for capital projects and leases
  • Setup and maintenance of vendor files/accounts
  • Maintain 1099 information and issue year end 1099 statements and reports
  • Respond to all vendor and employee inquiries regarding invoices, expenses and check requests
  • Reconcile vendor statements, research and correct discrepancies
  • Assists in monthly end close, Prepare and import journal entries, Prepare and Post Accruals
  • General Ledger and Bank Account Reconciliations
  • Prepares analysis of accounts, as required
  • Assists with special projects, perform other duties as assigned by manager
  • General office filing, mail, and data entry
  • Assist with annual audit
Skill Set/Attributes – Required
  • Strong work ethic, self-starter with strong initiative
  • Strong interpersonal and communication skills, both orally and in writing, in a clear and concise manner.
  • Strong organizational skills with the ability to prioritize and manage a demanding workload involving multiple tasks, responsibilities and deadlines with follow-through and minimal supervision
  • Experience in accounts payable functions
  • The candidate for this position must be able to move among various tasks, address responsibilities in a "hands on" detail-oriented manner. It is important that the candidate be a self-starter with above average initiative
  • Demonstrate ability to quickly learn new information, processes and procedures
  • Good numeracy skills, attention to detail and accuracy
  • A positive "can-do" attitude
Qualifications
  • Minimum 2 years of  relevant accounts payable experience
  • High school diploma/equivalent required, some college Accounting courses preferred
  • Experience working with ERP systems
  • Intermediate to Advanced Excel skills
  • Basic understanding of G/L accounts a must
  • QuickBooks experience preferred
