Founded in August 2011, Vine-Craft, LLC, is a Miami-based fine wine and spirits distributor, managed by industry veteran, Paul Owens, with passion for servicing the growing landscape of sommeliers and fine wine and spirits retailers in Florida. From one used pathfinder, two laptops, a home printer and a borrowed forklift, Paul created a formidable business in the competitive Florida market in less than 5 years. Leveraging experience and an extensive network of relationships, Vine-Craft, LLC has been able to secure distribution rights with some of Florida’s most exclusive accounts and impressive roster of supplier partners.

Currently we are seeking a dynamic self-starter, with a “can-do” attitude, to join our growing team. The Office Administrator will play an integral role in maintaining and insuring the day to day operations of the office are functioning efficiently and effectively. The qualified candidate will act as a liaison between the Vine Craft office in Florida and our corporate headquarters based in New York by consistently providing communication and updates as it pertains to the daily work flow of the office.

Your responsibilities will include but are not limited to:

  • Office Management
    • Maintain professional and clean office environment
    • Open and close warehouse
    • Respond to alarm alerts and maintain alarm codes
    • Meeting/Greeting Guests
    • General office administration, i.e. answering phones, accept packages, retrieve mail, photocopy, file, etc.…
    • Maintain office and warehouse supplies
    • Sales Rep support including assisting with meeting set up, office equipment including phone and utilities maintenance
    • Maintain Vinecraft calendar – supplier visits, blitzes, special event coordination, sell sheets, etc.
  • Customer Service
    • Fields all initial requests from field – such as inventory & delivery questions; AR inquiries; invoicing and pricing issues; prepare sales sheets
    • Update and maintain SevenFifty software with current inventory
    • Customer Maintenance
    • Track Shipments and orders
  • Finance/Accounting
    • Scan Checks received daily
    • Perform Cash Deposits
    • Accounts Payable Liaison with NY Office
    • Scanning of invoices for payment
    • Vouching invoices from suppliers (inbound) into ERP system
    • Pulling of invoices for audits – bank, CPA, beverage tax
    • Customer disputes on invoices (incorrect pricing, short shipment, etc.)
    • Handle Petty Cash

QUALIFICATIONS:

The qualified individual will have one to two years of experience working in a professional office environment. A four year college degree is preferred but not required. Excellent communication and interpersonal skills are required to be successful in this role. A strong work ethic and customer service oriented background are necessary. You must have an excellent working knowledge of Microsoft Office including comfort working with V-lookups and pivot tables. Familiarity with ERP software: knowledge of Apprise a plus. Analytical skills and high attention to detail will be necessary.
