Position Summary: Acting on own initiative and under the general direction of the Director of Winemaking, this position will support daily technical administrative functions in support of winemaking, winemaking planning and laboratory departments.

Duties/Essential Functions:

  • Provides all bottling paperwork to Lab, filling out specification sheets for daily bottling functions.
  • Provides all shipping paperwork to Lab for daily shipping functions.
  • Manages winemaking ingredient inventory and tracking of usage.
  • Maintains all Certficate of Analyses for incoming ingredients.
  • Provides product specification sheets to customers both internal and external under direct supervision of the Director of Winemaking.
  • Reviews all lab data entry from lab analysis for errors and trends.
  • Coordinates customer tastings, which includes all supplies, tasting sheets, and scheduling of lunch as needed.
  • Coordinates competitive tastings and organizes all samples for daily harvest tastings.
  • Prints all reports, including bottling, tankboards, and allocations to winemakers and planning.
  • Maintains winemaking tasting laboratory; ensuring MSDS sheets are up to date, proper inventory for trials, fridge clean up, glassware, dishwasher loaded, etc.
  • Maintains Broker Sample List (samples received from outside wineries for purchase) in SharePoint.
  • Coordinates/Maintains Sample Request Forms (sample requests from sales, requesting to send samples out).
  • Maintains SOPs for wine laboratory trials under the direction of the Assistant Winemaker.
  • Assists with writing process orders such as maintenance chills and SO2 adds, bottling and shipping adjustments as requested.
  • Oversees inventory of Winemaker’s holdback room and coordinates all wines for competition.
  • Ensures ISO policies and procedures are maintained and followed.  Reviews and updates procedures as needed (based on audits or changes).
  • Maintain blends by brand, documenting in SharePt.
  • Assists with capacity KPIs (Headspace report) which include monitioring tank utilization.
  • Enters data for winemaking budget including monthly variance reporting.
  • With input from winemakers, issues purchase requests for all major purchases of ingredients including concentrate, high proof, oak staves, etc. (place purchase order).
  • With input from winemakers, allocates gallons for the various bottling blends and to assist in its management under the new allocation report that is being developed.
  • Provides support to Enologists, Lab Manager, and Lab staff. (as needed).
  • Assembles Bottling Approval Packets and tabulates for monthly KPI.
  • Maintains and order office supplies as needed.
  • Performs Tank Top Inspection audits.
  • Tabulates amount of time spent by winemakers in the vineyard and on marketing projects on shared calendar.
  • Tabulates R&D tasting ratings and notes.
  • Coordinates all monthly safety meetings and stamp incentive program.
  • Assists in sample pulling as requested.
  • Provides meeting agendas and notes for all staff meetings and harvest downloads.

Position Requirements:

Education: Associate of Science Degree.

Experience: 1-2 years laboratory experience preferred.

Knowledge: Basic understanding of Science and Math.  Excellent communication skills, and organizational.
