Special Events Coordinator (Wine Jobs: Wine Retail & Sommelier)

Essential Duties & Responsibilities:

  • Interacts with customers requesting events. 

  • Serve as primary contact for clients after event is booked.  Work with clients to determine final menu selections, order rentals, create timeline, and relay information to kitchen and events staff.

  • Coordinate and execute event logistics for all private events, ensuring that each event is executed in an efficient manner and adhering to the values of Seghesio Family Vineyards. 

  • Work with Special Events Sales Manager to plan for upcoming internally hosted event and programming for Special Events Department.

  • Work with Trade-related guests to plan and execute tastings, tours, and meals.

  • Book and execute Large Group Tastings & Tours. 

  • Determine cost estimates and budgets.  Track spending and adhere to budget. 

  • With help of Special Events Sales Manager, hire and manage Special Events staff.

  • Schedule staff for upcoming events.

  • Create Banquet Event Orders for each event.  Meet with Chef/Kitchen 1 week prior to event to review Banquet Event Orders.

  • Coordinate and update Calendar of Events internally and externally.

  • Post upcoming events to all local referral websites (Chamber of Commerce, City of Healdsburg, Sonoma County, etc.)

  • Act as contact for all event reservations.  Manage RSVP list and bill tickets accordingly.

  • Maintain event equipment and keep track of inventory.  Including, but not limited to, glassware, flatware, china, tables, chairs, chair pads, vases, and candles.  Keep event equipment areas organized, including but not limited to Archive Room, Apartment, and Casa. 

  • Represents winery at outside functions as needed.

  • Performs other duties as assigned by manager. 

 

 

 

 

 

 

 

Education, Training and Other Requirements:

 

  • Minimum of 2 years related experience.

  • Excellent written and verbal communication skills.

  • Excellent presentation skills.

  • Acute attention to detail.

  • Strong organizational and problem-solving skills.  Able to manage priorities and work flow while keeping a positive attitude.

  • Commitment to excellence and high standards.

  • Versatility, flexibility and a willingness to work within constantly changing priorities. 

  • Flexibility with schedule and hours.

  • Excellent customer service skills.

  • Professional appearance and demeanor.

  • Strong knowledge of wine and wine and food pairing.

  • Passion, enthusiasm, focus, creativity and a positive outlook.

  • Demonstrated ability to plan and organize projects.

  • Good judgment with the ability to make timely and sound decisions. 

  • Proficient in Microsoft Word, Microsoft Excel, Outlook and Powerpoint.

  • Ability to stand and walk for prolonged periods of time; reaching, bending, twisting, lifting.

  • Ability to lift and/or move up to 50 pounds.
