Office and Marketing Administrator (Wine Jobs: Sales & Marketing)

The Alexander Valley Winegrowers is currently seeking a self-motivated individual with a positive and professional attitude, experience working with a membership based organization, and a genuine passion for the place of Alexander Valley. As the Office and Marketing Administrator you will work to support the advisory board of Alexander Valley Winegrowers. The main focus is to manage all office activities and communications between the board, membership and related associates. This role is heavy in administrative activity but will cross over into marketing activities as well. 
ESSENTIAL DUTIES AND RESPONSIBILITIES:
•  Open office, check mail- PO box, check voicemail
•  Answer phones and distribute messages accordingly
•  Receive mail, email, packages, fax etc. and respond or distribute
•  Maintain office supplies 
•  Keep the Shared Drive and Outlook calendars up to date with meetings and events – send invites to board members
•  Prepare outgoing mail
•  Bookkeeping through QuickBooks- process A/R and A/P accounts, maintain A/R spreadsheet, and follow-up on delinquent accounts
•  Board meetings: create and distribute agenda, attend board meeting, create and distribute meeting minutes for approval
•  Meet with various committees within the organization – may result in additional actions items
•  Meet with external committee as approved by board (ie. Sonoma County Vintners, Tourism) 
•  Take action to present the board with marketing opportunities solicited through neighboring organizations
•  Maintain Membership database – send New Member Packets
•  Maintain Membership signs around the valley: Directional posts and Winery or Property signs
•  Events:
a. Market AVWG events through Evite and Campaign monitor platforms – send eblasts, manage surveys, maintain rsvps
b. Coordinate vendors
c. Facilitate set-up and break-downs
d. Create Profit/Loss statements
e. Inventory left over wines for future events or uses
f. Provide admin support to contracted Event Coordinators for main events (ie. Cab Academy and EAV)
•  May be responsible for following up on action of the group to ensure that processes are implemented, documents are prepared and appropriate parties are notified
•  Perform work of an administrative nature that includes responding to unusual or
varied situations that are not always covered by existing standards, procedures or precedents
•  Support Cab Academy Event Coordinator with administrative back up
•  Support Experience AV Event Coordinator with administrative back up
•  Maintain office in a clean and safe environment
•  Make yourself available for requests and work on special projects made by Board of Directors

QUALIFICATIONS:

•  Possess Strong Communication Skills 
•  Have self-starter work ethic and ability to work independently
•  Be Proficient with Computers and able to use programs such as QuickBooks, Excel, Word
•  Enjoy Working in a one-person office
•  Be able to lift up to 50lbs consistently (case of wine) Minimum 2 years of experience in wine related environment

This is a part-time position working out of the AVWG Healdsburg office.
