DTC OPERATIONS & SHIPPING COORDINATOR (Wine Jobs: Management & Administration)

We are looking for a Direct to Consumer Operations & Shipping Coordinator to join us on our vineyard in Dayton, OR; who is looking for a great opportunity to work in an exciting industry surrounded by wine, food and great people. This position is responsible for all logistics that involve on-site shipping as well as duties that relate to the inner workings of the Tasting Room operations. This position creates and manages the infrastructure needed by our Direct Sales team to help them provide the highest level of service to our guests and achieve continued sales growth.   
  
Your days can include, but are not limited to: 
  
Shipping:

  • Print packing slips
  • Write greeting cards to include with customer shipping orders
  • Create wine and box type lists for pulling inventory
  • Prepare and print all shipping labels
  • Package all wine accurately and quickly
  • Follow up on customer orders to ensure delivery and or resolve any issues to include:
·         Send hold location emails
·         Exception emails
·         Quickly replace damaged bottles
  • Order shipping supplies and keep inventory at an optimal level
  • Act as a point of contact for the TR staff regarding shipping information and work with TR Manager(s) to update and disseminate new information
  • Routinely update the TR shipping binder, keep TR staff informed of upcoming compliance changes and work with accounting to manage direct sales shipping spreadsheets to track states, restrictions, sales tax, and shipping rates

Operations Coordinator:

  • Schedule, set agendas, and run DTC weekly meetings
  • Schedule ongoing trainings and tastings for DTC sales personnel with input from TR Manager(s) and Vice President
  • Maintain training manuals and materials, ensuring that current product information is always updated and available to sales associates
  • Act as go-to person for BLoyal/RMS POS system
    • On-site expert of opening and closing procedures, reconciling tender, printing daily reports, creating new customer accounts, providing discounts, performing general troubleshooting, and creating reports.
    • Suggest and work with IT resources to make improvements to the system
    • Educate new and existing employees on the POS and answers any questions for staff
  • Work in the tasting room as an associate to assist during the busy season
  • Create procedures and ensure adherence for all DTC sales functions, from opening/closing procedures, to side work lists, etc.
  • Assist with managing online reservations through 3rd party vendor
  • Act as back-up for direct to consumer and club order processing
  • Update and produce point-of-sale, menus, and tasting sheets as needed for daily operations and special events
  • Oversee maintenance, cleaning and general improvements to Tasting Room facility to ensure all areas are presentable, fully stocked and orderly each day;  report to VP and Tasting Room Manager on cleanliness and effectiveness of the cleaning staff
  • Deliver bank deposits and make change for the Tasting Room when needed
  • Work with the Tasting Room Manager to plan retail merchandising including stocking and organizing and creating  displays of wine, gifts and clothing
  • Local marketing – engage with B&B’s and local businesses to help maintain proper stock of brand brochures and tasting passes
  • Inventory Management: ensure wine, non-wine, and consumable products are always in stock and available for all consumer sales channels; both onsite
    • Perform monthly wine inventory count; assist with merchandise inventory counts when necessary
    • Maintains an accurate wine inventory, non-wine merchandise and supplies, with approval from the Vice President on all purchases related to all non-wine merchandise and supplies
    • Manage inventory of consumable items for restrooms and cleaning supplies
  • Coordinate inventory movements from the Sokol Blosser Newberg warehouse to the Winery

  
Looking for someone who has:

  • 2+ years similar experience, or commensurate experience
  • Ability to provide excellent customer service to both internal and external customers in a fast paced, multi-tasking environment with impeccable personal integrity
  • Excellent written and oral communication skills
  • Creative problem solving skills
  • Ability to lift objects weighing up to 45 pounds
  • Ability to sit, stand or move around for long periods of time
  • Ability to work well in a team environment and provide excellent customer service
  • Demonstrated ability to use MS Outlook, Word and Excel
  • Demonstrated high level attention to detail with excellent follow through and reliability
  • Ability to multitask and manage time wisely
  • Interest in the wine and the wine/food lifestyle
  • Must be 21 years of age or older and able to qualify for an Oregon Server’s Permit

Standard hours of employment are 40 hours/week with Monday-Friday schedule with changes during spring and summer months to assist in the Tasting room on weekends. Weekend work will be required during Memorial Day and Thanksgiving Day holiday events.
